Location: Belle Glade, FL
KEITH is seeking a highly organized and detail-oriented Project Administrative Assistant to support a major construction management project in Belle Glade, Florida.
This is a great opportunity for someone who enjoys keeping projects organized, working with a team, and making sure the details are handled. The Project Administrative Assistant will provide day-to-day administrative and project support, including maintaining project records, tracking documents and correspondence, coordinating meetings, preparing reports, and assisting the project team with a variety of administrative needs.
What You'll Do:
Provide administrative support to the project management and construction management team
Maintain organized electronic and paper project files and records
Receive, organize, track, and distribute project documents and correspondence
Maintain logs and tracking spreadsheets for project documents, submittals, RFIs, correspondence, and other project activities
Assist with preparing, formatting, and distributing reports, meeting materials, correspondence, and other project documentation
Schedule meetings and assist with meeting agendas, sign-in sheets, minutes, and follow-up items
Track action items, deadlines, and project deliverables to help keep the project team on schedule
Coordinate the distribution and filing of drawings, specifications, reports, and other project documents
Assist with document uploads, file organization, naming conventions, and version tracking within project systems
Communicate with project team members, contractors, consultants, and other project stakeholders to collect and distribute information
Assist with project closeout activities, including organizing final documentation and project records
Support the project team with other administrative and coordination needs as they arise
What You'll Need:
2+ years of administrative, office, project coordination, or related experience
Strong organizational skills and exceptional attention to detail
Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams
Strong written and verbal communication skills
Ability to manage multiple tasks, prioritize deadlines, and stay organized
Comfortable working with electronic files, spreadsheets, databases, and document management systems
Professional, dependable, and able to work effectively with a variety of people
Construction, engineering, architecture, or project experience is a plus
Ability to work on-site in Belle Glade, Florida
